PERSONAL ASSISTANT |

We are a Dubai based company trading in energy and gas, opening a small office in Berlin. We are looking for a Personal Assistant who can work closely with senior managerial or directorial staff to provide administrative support, usually on a one-to-one basis.
Typical work activities include:
screening telephone calls, when appropriate inquiries and requests, and handling them;
organizing and maintaining diaries and making appointments;
dealing with incoming email, faxes and post, often corresponding on behalf of their manager;
assembling and preparing Sales Invoices, Purchase orders, Stock Offer letters, Quotations and
Deputising for the manager, making decisions and delegating work in the manager's absence;
devising and maintaining office systems, including data management, filing, etc.;
arranging travel and accommodation and, occasionally, traveling with the manager to
responsibility for accounts and budgets;
In addition to relevant experience and secretarial / administrative knowledge, candidates will need to show evidence of the following:
excellent written and oral communication skills in English;
excellent word processing and IT skills, including knowledge of a range of software packages;
honesty and reliability;
the ability to work on your own initiative and to tight deadlines;
flexibility and adaptability to juggle a range of different tasks and to work extra hours to meet deadlines;
an understanding of confidentiality issues and the use of discretion.
